Privacy notice
Last updated: 22 October 2026.
Who we are
Hire and Inspire Ltd (registered in England and Wales, company number 17153148, registered office 71–75 Shelton Street, Covent Garden, London WC2H 9JQ) is the controller of the personal information described in this notice. Mandy Jeffery, director, is responsible for data protection. Contact: hello@hireandinspire.co.uk. We are registered with the Information Commission (which continues to be known as the ICO). We have not appointed a data protection officer.
What we collect
When you send an enquiry we collect your name, email address, company name, staff size, the service you are interested in, your message and your consent confirmation. If you email us or use our forms, we keep what you send us. If you ask for the free readiness check, we use your email address and answers to send you your result. We do not ask for special category data; please don't include sensitive details about individuals in an enquiry.
Where we get information from
Most of the information we hold comes from you. Sometimes we receive your name and work contact details from someone else: a colleague at your organisation, a person or business who introduces you to us, or public business sources such as your organisation's website, LinkedIn or Companies House. We use that information only to respond to the enquiry or introduction, and we tell you where it came from when we first contact you.
Do you have to give us your information?
No. You don't have to give us any information, and there is no legal requirement to do so. But if you don't give us your contact details we can't reply to your enquiry, and if a client doesn't give us the information we need we may not be able to provide our services.
Why we use it and our lawful basis
- To reply to your enquiry and take steps at your request before entering into a contract (UK GDPR Article 6(1)(b)).
- Where you contact us on behalf of your employer, and to keep a record of business correspondence, in our legitimate interests in responding to and following up business enquiries (Article 6(1)(f)).
- When we work with you, to deliver the work, invoice and keep records we are legally required to keep (Article 6(1)(b) and (c)).
We do not sell your data or make decisions about you based solely on automated processing. We will only send you marketing if you separately opt in.
Who we share it with
These suppliers process data on our behalf under contract:
| Supplier | What they do |
|---|---|
| Netlify, Inc. | Hosts this website and receives contact form submissions |
| Akismet (Automattic Inc.), through Netlify | Checks contact form submissions for spam |
| Apple (iCloud Mail) | Sends and stores our email |
| Porkbun | Registers our domain names and forwards email sent to some of our addresses |
We may also share information with professional advisers, such as our accountant or solicitor, where needed, and with authorities where the law requires it.
International transfers
Some of these suppliers may store or access information outside the UK. Where that happens, we rely on UK adequacy regulations or approved safeguards, such as the UK International Data Transfer Agreement or Addendum. You can ask us for details.
How we use AI
We use AI tools to help draft documents and organise our own work. We do not put clients' employee data, or any sensitive personal information, into AI tools. Any AI-assisted output is checked by a person before use, and clients can ask us not to use AI on their work at all.
Working with clients' employee information
When we work for a business, the business is usually the controller of its employees' information and we act as its processor, under a written data processing agreement. If you are an employee of one of our clients, please contact your employer first; we will help them respond.
How long we keep it
- Enquiries that don't lead to work: deleted within 12 months of our last contact.
- Free readiness check: your answers and result reach us by email, so we keep them with your enquiry and delete them on the same timetable. Our website does not store them.
- Client contact and billing records: the contract term plus 6 years, for legal and tax purposes.
Your right to object
You can object at any time to our use of your information where we rely on our legitimate interests. We will stop unless we have compelling legitimate grounds that override your interests, or we need the information for legal claims. You can also stop direct marketing at any time, with no reason needed: use the unsubscribe link or email hello@hireandinspire.co.uk.
Your rights
You have the right to access, correct, delete or restrict use of your information, to data portability, and to withdraw consent where we rely on it. You can object to our use of your information where we rely on legitimate interests, and to direct marketing at any time. To use any of these rights, email hello@hireandinspire.co.uk. There is usually no charge. We will reply within one month, or tell you within that month if we need longer.
